e4cars processes personal data both as a Data Controller and as a Data Processor, depending on the context, in compliance with the General Data Protection Regulation (GDPR) and applicable data protection laws.
Data Collected
All users
- Email address and unique user ID (for platform login access)
Clients & prospects
- Mandatory: last name, first name, full address
- Optional: phone number, email, title, payment and invoice information
Suppliers / subcontractors
- Contact details, financial information, photos and videos
Employees
- Career data, training records, work scheduling information
Website visitors
- Name, email, phone number, company name
- Video surveillance footage (where applicable on premises)
Geolocation Data
e4cars collects location information for the following purposes:
- Tracking work trips and computing distances traveled
- Informing customers of vehicle arrivals
- Preventing fraudulent activities
- Conducting service analytics
Geolocation data (GPS coordinates, travel dates/times, route histories) is stored in a separate database. Precise delivery/pickup location data is deleted after 90 days, with retention extended up to one year if necessary. This data may be shared with Mapbox and Google Maps for route calculation purposes. Users may disable geolocation collection via their device settings.
Purpose and Legal Basis
We process your data for the following purposes:
- Managing client, supplier, and user accounts (contractual basis)
- Responding to demo requests and commercial inquiries (legitimate interest)
- Improving our platform and services (legitimate interest)
- Compliance with legal and regulatory obligations
- Fraud prevention and security (legitimate interest)
Data Retention
Data is retained only for as long as necessary to fulfil the purposes for which it was collected, and in accordance with applicable legal requirements. Data may be retained for longer periods for dispute resolution purposes.
Security Measures
e4cars implements technical, physical and organisational security measures, including access controls and regular security audits, to protect your personal data against unauthorised access, alteration, disclosure or destruction.
International Data Transfers
Your data is primarily processed within the European Union. Where transfers outside the EU are required, e4cars ensures appropriate safeguards are in place, including Standard Contractual Clauses or Binding Corporate Rules.
Your Rights
Under the GDPR, you have the right to:
- Access your personal data
- Rectify inaccurate data
- Request erasure of your data
- Restrict or object to processing
- Data portability
- Withdraw consent at any time (where processing is based on consent)
Requests will be processed within a maximum of three months. You also have the right to lodge a complaint with the CNIL (Commission Nationale de l'Informatique et des Libertés), France's data protection authority.
